Glossary function for consistent translations

Since versions 13.5.0/12.11.0, the AI Suite includes a glossary function. It helps you translate specific terms or phrases consistently. This is particularly useful for technical terms, brand names or company-specific expressions.

The following section explains the procedure step by step.

1. Where can I create/manage the entries?

The glossary is maintained directly in the “Records” module (in TYPO3 12: “List”). It is created there as a separate record “Glossary entry”. For DeepL, the entries are synchronized per site (root page), i.e. all entries in the page tree of this site. For translations with text models, all glossary entries of the respective target language and the selected page tree apply. You maintain the glossary like any other record in TYPO3:

  1. Creating the records in the default language
  2. Translating the records into the respective target language(s), including adjusting the content if necessary
  • Glossary entries: The “Records” module

    In the “Records” module, the glossary entries are stored on the root page “AI Suite Demo”. “Sessions” must always become “talks” in English.

2. Synchronization when using DeepL

If you translate with DeepL, also synchronize the glossary. To do so, use the “Synchronize DeepL glossaries” button, which appears in the “Records” module (in TYPO3 12: “List”) as soon as at least one glossary entry exists on the selected page. All glossary entries are created, removed or modified accordingly. Since versions 14.6.2/13.18.2/12.24.2, the synchronization shows an error message if no translated glossary entries were found. Glossary entries on the root page itself are included as well.

3. Automatic application during the translation process

During translation, the AI Suite checks the glossary entries and automatically adopts matching translations. This ensures that defined technical terms or brand terms are translated correctly and consistently throughout.

In the WorkflowManager, you can additionally select a glossary per site for page translation and for the translation of file metadata (“Select a glossary (optional)”). Glossaries managed directly in DeepL are also available. They are marked with the note “(is managed directly in DeepL)”.
